POSITION SUMMARY:

The Main role for this post shall be to ensure proper procurement/receiving and storage of goods and materials in the store as per the laid down standard operating procedures.

DUTIES AND RESPONSIBILITIES:

 

  1. To procure goods/services through the prescribed procurement process and as per the prescribed process
  2. Record maintenance of the procurement and stores process.
  3. Store received goods/items in the prescribed storage place or conditions.
  4. Check and maintain clear and organized records of all the documentations (invoices, delivery notes, good received notes, L.P.O S) file and stored properly.
  5. Ensuring there is total security and safety of all the items/materials/equipment in the stores.
  6. Usage of Fifo stores management principles.
  7. Monitor minimum stock levels for all items to ensure proper levels and make appropriate
  8. purchase requisitions in due time to enable undisrupted production and services.
  9. Responsible for storage of both food, beverage and operational stock.
  10. Responsible for the day-to-day check on the storage facilities for upkeep and hygiene.
  11. Ensure cleanliness of all areas, keeping storage areas clean & tidy and in strict compliance with hygiene regulations.
  12. Conduct inventory audits to determine inventory levels and needs. Any differences between the manual count system have to be investigated and the information to be given to the Finance    Department e.g. controller.
  13. Assist the Accounts Payable Clerk / payable assistant in finding out any cost discrepancies.
  14. Extend all requisitions on a daily basis and update both the inventory management software/system and the bincards.
  15. Work closely with procurement to order and receive the required items and equipment in the Club.
  16. Troubleshoot any vendor delivery issues and oversee/follow up on the return process through processing of goods return notes

QUALIFICATION

  1. Diploma in Purchasing and Supply from the a recognized TIVET Institution or an equivalent institution recognized by the Examination council.
  2. At least C minus (Mean Grade) and at least C plus in Mathematics in KCSE.
  3. A degree holder in Procurement/ Membership in KISM will be an added advantage.

 

EXPERIENCE

  1. 5 years’ experience as a Storekeeper or procurement officer in a Hotel or Members Club.
